Turn a quotation into an invoice
Create the one invoice for an accepted quotation, then mark it sent, accepted, or paid.
An invoice is a separate document. It copies deal kind (sourcing or service) from the quotation. One quotation can have one invoice.
Create the invoice
- Open the accepted quotation (or a quotation you are ready to bill).
- Select Create invoice. If the invoice already exists, select Open.
- Check numbers, bank, and terms. The invoice gets its own quotation number and contract number from your prefixes.
- Save.

Invoice status
Use draft, sent, accepted, rejected, and paid.
| Status | Meaning |
|---|---|
| Draft | Still editable, including currency |
| Sent | Customer has the document. Currency and rates lock. Accounting starts to track the amount due. |
| Accepted | Customer agreed. A customer company that was a lead is no longer a lead. |
| Rejected | The invoice is void for accounting. You cannot reject if Books income is already allocated or a project already exists. |
| Paid | You recorded that the customer paid. You can now create the project. |
Note
You record the bank receipt in Books → Income, linked to the invoice. Marking the invoice paid and logging Books income are two steps. See Record money in Books.
You cannot delete an invoice
There is no delete action on invoices. If the invoice should not stand, reject it (when the rules above allow). See What you can delete.
Reminders
When status is paid and there is no project yet, Exreach reminds you to create the project. The reminder clears when the project exists.
