Run the project
Create a project from a paid invoice and run sourcing or service work.
A project is the execution record for a paid invoice. You do not create a blank project. There is no New Project form without a source invoice.
Screen guide: Projects.
Create the project
- Open the paid invoice.
- Select Create project. If the project already exists, select Open.
- Confirm the project name and codes.
- Save.
Sourcing invoices create a sourcing project with product lines. Service invoices create a service project.
Commercial lock
The project is an execution shell for the paid invoice. Until you close the project, some fields stay locked:
Locked (deal snapshot)
- Customer, primary contact, destination, incoterm, payment terms
- Currency and rates
- Billed shipping from the invoice
- Sell-side product lines (name, spec, HS, quantity, unit price). You cannot add or remove those lines.
- Service billing (type, description, unit, quantity, rate, discount)
Editable (execution)
- Project name, status, certifications, notes
- Cost and ops fields (factory RMB, commission, packaging, internal notes)
- Service location, service date, and service expenses
- Ship and delivery dates until you close
Project code locks after the first save. Empty milestone dates can still be filled once.
Status
Move the project through your execution statuses. For sourcing, you close only when status is delivered. See Close the project.
Costs while the project is open
On project details, Costs & Payments shows Books income and expenses for this project, plus inventory cost when you issued stock. Log missing money there, or from Books. After you close, that block becomes a reconciliation summary.
Sourcing extras
- Shipping tracker
- Packing list export from the project (sourcing)
Service extras
Profit is billed amount minus service expenses (transport, accommodation, other). There is no product cost.
Service rates in Settings → Organization fill new service quotations and projects only. They do not change a rate you already saved.
Next
For sourcing, ship the goods. Always record money in Books before you close.
