Record money in Books

Log customer income, supplier and freight expenses, and recurring costs.

Books is where cash movement is recorded. Accounting is the ledger and reports that follow from Books and invoices.

Income (customer paid you)

  1. Open Books → Income, or use + → Income.
  2. Pick the customer (payer).
  3. Optional: link the invoice and the project.
  4. Enter amount, bank, currency, and rate.
  5. Save.

Linking the invoice is how Exreach matches the receipt to the amount due.

Tip

Use market rate to fill a new row. Saved rows keep the rate you stored.

Expenses (you paid someone)

  1. Open Books → Expenses, or use + → Expense.
  2. Pick a category. The payee list follows the category (suppliers for supplier payment, shipping companies for shipping).
  3. Link a project when the cost belongs to a deal.
  4. Save.

The payee is who received the money. The deal customer comes from the project, not from the payee.

Project cost vs operating cost

You do not toggle this. Exreach sets it from category and project:

  • Deal-cost categories (supplier payment, shipping, inspection, other) are project costs when a project is linked. Otherwise they are operating.
  • Overhead categories (salary, subscription, office, taxes, bank fee, trade fair, certification) are always operating.

Operating expenses feed net profit. Project costs feed Close project and Costs & Payments.

Put stage labels such as “50% deposit” in the Description.

Recurring expenses

Open Books → Recurring for templates (for example rent or salary). Exreach can also create a salary recurring row from an employee. See Employees.

Banks

Pick a real bank from Settings → Organization, or Cash on Hand for physical cash. Cash on Hand is created for every workspace. You cannot delete it. Do not use it as the default bank on invoice documents.

If a bank is single-currency, new Books rows lock to that currency.
